Privacy Notice

Operator: Loopline Solutions, LLC ("IntelClaim," "we," "us").

1. Who we are and what IntelClaim is

IntelClaim is operated by Loopline Solutions, LLC ("IntelClaim," "we," "us," or "our"), which is responsible for the personal information described in this Privacy Notice. IntelClaim is a self-help document-automation and case-tracking tool for people dealing with health-insurance denials and medical bills. It helps you organize your case, read your documents, prepare your own appeal packet from information you confirm, track deadlines and reminders, and record the outcome.

IntelClaim is not a healthcare provider, insurer, or law firm. It does not provide medical, legal, or insurance advice, does not represent you, and does not guarantee any result.

2. Information we collect

  • Account and contact information you provide, such as your mobile number and optional email address.
  • Documents you upload, such as denial letters, Explanations of Benefits (EOBs), provider bills, and insurer response letters. These may contain health and insurance information about you.
  • Structured claim details taken from those documents (for example: insurer name, claim number, dates of service, billed/allowed amounts, patient responsibility, denial reason, appeal deadline) — which you review and confirm.
  • Case materials we generate for you, such as your appeal packet.
  • Case activity: events, reminders, submissions you record, response classifications, and outcomes (including amount saved).
  • Limited technical and security information needed to operate the service securely (such as basic request and access logs). We do not put the raw text of your documents in our normal logs.

We do not place advertising or tracking scripts on the upload or case pages.

3. How we use your information

  • To create and manage your case.
  • To read your uploaded documents (OCR) and pre-fill fields that you review and correct.
  • To generate a self-help appeal packet from the information you confirm.
  • To track your case progress, reminders, and outcomes.
  • To provide export, deletion, support, and security functions.
  • To produce aggregated statistics that help us understand what works and improve the tool. These statistics are not tied to your identity and are not predictions about your individual case.

We use your information to provide the service you asked for and to keep it safe and working. We do not sell your identifiable medical information.

We do not share, sell, rent, or otherwise provide your mobile phone number, mobile information, text-message opt-in data, or messaging consent to any third parties or affiliates for marketing or promotional purposes.

We use messaging service providers only to deliver IntelClaim messages. They may not use your mobile information or messaging consent for marketing or promotional purposes.

For optional recurring case-reminder texts, message frequency varies based on your case activity and deadlines. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to reminder texts is not required to use IntelClaim.

4. How your data is handled

Your data is hosted with HIPAA-eligible cloud service providers in the United States under a Business Associate Agreement. Your documents and case information are encrypted in transit and at rest, and automated document reading (OCR) is performed by a HIPAA-eligible service under that agreement.

IntelClaim uses a U.S.-based generative AI service provided through Amazon Bedrock under IntelClaim's AWS Business Associate Agreement to process the page text of the documents you upload, the structured facts and Evidence Ledger derived from those documents, and information you confirm. We use this processing only to analyze your case, identify evidence gaps, prepare a strategy, and draft appeal materials. AI output may be incomplete or inaccurate. You review the materials before you use them. IntelClaim does not submit appeals or contact your insurer or provider.

We do not send messages to your insurer or provider on your behalf.

5. What we do not do

  • We do not sell your identifiable medical documents or information.
  • We do not send the raw text of your documents to consumer AI tools or to any non-BAA service.
  • We do not submit appeals, send emails or faxes, or contact your insurer or provider for you.
  • We do not run advertising or behavioral tracking on the upload or case pages.
  • We do not provide medical, legal, or insurance advice, and we do not guarantee outcomes.

6. How we protect your information

  • Encryption in transit (HTTPS) and at rest.
  • Access to a case is controlled by a private access link/token; we store only a hashed form of that token, never the raw token, and access can be revoked.
  • Administrative pages are protected by authentication.
  • Least-privilege access to our systems.

No method of storage or transmission is 100% secure, so we cannot guarantee absolute security, but we work to protect your information using the controls above.

7. Data retention

We keep your case information until you delete it, or until we anonymize it 24 months after your case is closed, whichever comes first. Copies in secure backups are overwritten in the ordinary course of our backup rotation.

8. Your choices and rights

  • Deletion: you can ask us to delete your case. We remove your case from active use and delete the direct identifiers (such as your name and email) associated with it. We may retain limited case data with direct identifiers removed, and may retain records only where necessary to comply with law, resolve disputes, or prevent fraud or abuse. Copies present in secure backups are overwritten in the ordinary course of our backup rotation.
  • Export: you can request an export of your case information. The export contains your case details and metadata; note it may not include the raw original files exactly as uploaded.

Depending on where you live, you may have additional rights. For example, residents of California (under the CCPA/CPRA) and of states with consumer health-privacy laws (such as Washington's My Health My Data Act) may have the right to access, correct, delete, or obtain a copy of their information, and to direct us not to sell or share it (we do not sell or share your identifiable information). To exercise any of these rights, contact us using the details below; we will respond as required by applicable law.

9. Children

IntelClaim is intended for adults (18 or older) and is not directed to children. We do not knowingly collect information from children under that age.

10. Changes to this notice

We may update this Privacy Notice. If we make material changes — for example, enabling generative AI on your data — we will update the effective date and provide notice before the change applies to you.

AI and Automated Document Reading (OCR) Disclosure

Reading your documents (OCR)

  • We use an automated document-reading (OCR) service to read your uploaded documents and pull out key details (like claim number, amounts, and dates).
  • It is a HIPAA-eligible service, covered by our Business Associate Agreement, and runs in the United States.
  • The details it extracts are used to pre-fill a form that you review and correct. You confirm the final information.

Generative AI
